Capturing pay-in sheets

Introduction

Once the 'Pay-In Sheets' have been registered by the admin, the 'Agent' has to start capturing each registered pay-in sheet on Odoo immediately after receiving them. To capture the pay-in sheets pack the 'Agent' must follow the following process.

Responsible Team

  • Contact centre manager
  • Contact centre agent

Navigate to your Odoo dashboard and click on this application: Sales Force

Navigate as follows to get to the correct screen:

Once the capture pop up screen has opened, you will land on a screen that looks like this:

Process

  1. Click on the 'Distribution' period dropdown arrow as shown below:
  2. Click on 'Expand' button to open each 'Distribution' at ones, and you should now land on a screen that looks like this:
    Or you can also type the 'Manager' SFM code or name on the 'Pay-In Sheets Capture' search bar to open the manager's pay-in sheets.
  3. Click on each 'Manager' to open the pay-in sheet, and you should now land on a screen that looks like this:
  4. Click [Edit] button.
  5. Edit the first 'Consultant' line in the pay-in sheet as shown below:
    The list of Consultants on the 'Lines' are in alphabetical order.
    When you scroll down the 'Lines' in pay-in sheets, the headings in each column will be fixed.
    1. Press '+' button on the keyboard to skip to the next columns and rows of the lines.
    2. Press '-' button on the keyboard to go back to the previous columns and rows of the lines.
    3. Press 'num lock' button to pause the timer and again to restart the timer.
    4. At the end of 'Lines' on the 'Add a line' on screen as shown below, enter the 'New Consultant' SFM code then her sales and returns.
  6. When you are done capturing all the 'Consultants' sales, returns and comments, click [Save] button.
  7. Click [Capture Complete] button.
  8. Click [Confirm] button to proceed with the pay-in sheet next capturing state or [Cancel] button to cancel the process on the pop-up screen.
    If you want to edit the pay-in sheet that is in the 'Captured' state, click [Edit] button to start editing the pay-in sheet.
    If you want to edit the pay-in sheet that is in the 'Verified' state, click [Unlock] button then click [Edit] button and untick [No Sales] tickbox to start editing the pay in sheet.
  9. Otherwise, click [Verify] button.
    It is highly recommended that you 'Print' 1 Distributor at a time.
  10. Click [Print] button.
    You can not print the captured pay-in sheet that has not been 'Capture Completed'.
  11. On the dropdown, click the 'Capture Pay-In Sheets Report' to download the pdf.
  12. On the 'downloads', open the pdf to print.
  13. Once you are done printing, repeat the process to capture another 'Managers' pay-in sheet.

What happens when the 'pay-in sheets' take time to download?
Wait for the system to process the download.
Where can I find the 'Registered' and 'Captured' pay-in sheets if I happen to lose it in the process?
Go to 'History' on the 'Manager pay-in sheets' dropdown.
